Subclient Properties (Archiving Rules)

Use this tab to view or change archiving rules for this subclient.

Enable archiving with these message rules

Specifies whether the archiving rules for this subclient will be disabled. When selected for Exchange Mailbox Archiver, this option will cause the system to enable all archiving rules (except for the Stub Rules and Leave Behind Message Body for items added to the Archive List in Outlook) for the subclient.

  • By default, archiving rules are initially disabled. Select this option and configure the rules in this dialog box before performing an Archive Operation. Selecting this option after configuring archiving rules will preserve the current settings.
  • When archiving rules are disabled for Exchange Mailbox Archiver, the only way to perform migration archiving operations for this subclient is by manually adding messages or items to the archive list through Outlook.
  • When archiving rules are disabled for Exchange Public Folder Archiver, no data will be archived.

Message

  • Archive message after n days

Use this space to specify the number of days old that a message or item must be in order for it to be archived. The age of the message or item is determined by the receive time.

  • Archive message only if size is greater than n KB

Use this space to specify the size that a message or item must be in order for it to be archived.

  • Leave Behind Message Body

If selected, the body of any message that is archived will not be removed when the message is stubbed.

  • Archive messages with attachment only

If selected, only messages that have attachments will be considered for archiving.

  • Use either Age or Size rule

Specifies whether archiving will occur if either the Age or Size of the message or item matches the respective rule, and all other applicable archiving rules have been met.

  • Use Sent/Received time for Age rule

Specifies whether archiving will occur when the sent/received time of the message or item matches the Age rule, and all other applicable archiving rules have been met.

  • Do Not Archive Unread Messages

Specifies that you do not want to archive unread messages even if the messages qualify for archiving under the Age and/or Size rule.

  • Include following archiving folders (separated by ;)

Use this space to enter root-level mailbox folder names that you want to archive on the specified subclient. All messages and subfolders contained within the specified folders will also be archived on the subclient. If you are entering more than one folder name in this space, separate the additional entries with a semi-colon (;). For example: Inbox; Sent Items; Drafts

Watermark Rule

  • Used disk space

Specifies whether the disk space will be checked when a mailbox is examined. The mailbox will be skipped if used disk space is lower that the watermark. The disk drives to be checked are the drives where mailbox database are located.

We do not recommend using only the Used Disk Space watermark as the sole criteria for archiving, as this could result in data being archived unintentionally.

  • Archive if used disk space reaches n % of total volume

Use this space to specify the used disk space high watermark value. When the Used Disk Space check box is selected, the mailbox will be skipped if the used disk space is lower than the value specified here.

  • Mailbox Quotas

Specifies whether the mailbox high and low watermarks will be examined. If the mailbox used space is higher than the specified value, the mailbox will be scanned.

After the low watermark is met, the scan will be stopped for this mailbox. Mailbox watermarks are checked against the mailbox’s smallest quota among warning quota, stop sending quota, stop sending/receiving quota. If a mailbox’s quota is set to Use Default, the smallest quota of its database will be used. If there is no quota set at the database level, the mailbox will be considered as no quota set. It will be skipped unless the Mailbox Quotas option is unchecked.

  • Archive if size of mailbox size reaches n % of assigned quota

Use this space to specify the mailbox size high watermark value. When the Mailbox Quotas check box is selected, the mailbox will be scanned if the mailbox size is higher than the value specified here.

  • Stop Archive when mailbox reaches n % of assigned quota

Use this space to specify the mailbox size low watermark value. When the Mailbox Quotas check box is selected and the mailbox is scanned, the scan will continue until the estimated mailbox size after archiving is lower than the value specified here.

Stub Rule

  • Preserve stubs until the media has been pruned

Specifies whether stubs will be allowed to exist in a mailbox or public folder until the media retention time has been met and data aging has been run.

  • Prune stub only after n days

Specifies that stubs will be pruned after the number of days entered. This value determines the minimum life of a stub.

  • Do not create stub

Specifies that a stub will not be created for any archived message or item. When this option is selected, the archived messages or items will be removed from the computer and a stub recovery is not possible. To recover archived messages/items that do not have stubs, perform a Browse and Recovery procedure from the CommCell Console.

  • Embed the recall link into body

Select this option to recall messages from any mobile device. When this option is enabled, a hyperlink is embedded into the message's body during the stubbing phase. When clicked, the message is automatically recalled into the user's Recovered Items folder irrespective of any other recall locations configured on the Exchange Server.

    • OWA server name

Use this space to enter the URL and host name of the server that will perform the recall. For example: https://exchangeservername

Attachment Filter

Specifies file extensions for attachments that you want included or excluded from archive operations regardless of the age/size message rules. Some points to keep in mind for filtering message attachments from archive operations. When attachment filters are not specified, the normal age/size rules are applied to attachments to determine whether they qualify for archiving. For example, if you want to archive attachments based on age and/or size instead of file type, then you would leave the filters blank.

  • Include Attachment Filter:

Displays file extensions for attachments that you want included in migration archiving operations for this subclient, regardless of the age or size rules.

When the Include Attachment Filter is used, it overrides the age/size rules for attachments of the specified type, and archives all attachment types in mailboxes that match the specified pattern regardless of age or size. This is useful for targeting items such as multimedia files to archive them as soon as they are found. For example, you could enter .mp3 as an Include Attachment Filter to archive all mp3 attachments.

  • Exclude Attachment Filter:

Displays file extensions for attachments that you want excluded from migration archiving operations for this subclient, regardless of the age or size rules.

When the Exclude Attachment Filter is used, it overrides the age/size rules for attachments of the specified type, and excludes from archiving all attachment types in mailboxes that match the specified pattern regardless of age or size. This is useful for preventing the archiving of certain file types (such as .exe, .vb, etc.) that you do not want archived.

  • Include

Click to move the selected Attachment Filters from the Exclude Attachment Filter pane to the Include Attachment Filter pane.

  • Exclude

Click to move the selected Attachment Filters from the Include Attachment Filter pane to the Exclude Attachment Filter pane.

  • Add

Click to include or exclude Attachment Filters from a list.

  • Remove

Click to remove selected Attachment Filters from either the Include Attachment Filter pane or the Exclude Attachment Filter pane.

PST

  • Archive Everything

If selected, all the PST files will be archived. This selection will override any other archiving criteria defined for the subclient.

  • Manage PST Stubs

Specifies to manage the PST stubs that are created by a Migration Archiving Operation of PST Files by copying or moving them to mailboxes associated with the PST file or custom mailbox locations.

    Copy PST stubs to mailbox

Specifies that the PST stubs will be copied, created by a Migration Archiving Operation of PST Files, into the mailbox associated with the PST file. By default, the stubs will be placed into the PST Archived Items folder. Optionally, enter a custom mailbox folder location where PST stubs will be copies in Destination Folder Name in Mailbox.

    Move PST stubs to mailbox

Specifies that the PST stubs will be moved, created by a Migration Archiving Operation of PST Files, into the mailbox associated with the PST file. By default, the stubs will be placed into the PST Archived Items folder. Optionally, enter a custom mailbox folder location where PST stubs will be moved in Destination Folder Name in Mailbox.

Create a separate parent folder for each PST

Specifies that the PST stubs will be copied/moved into the destination folder maintaining the internal folder structure of the PST and will also be separated into unique folders for each PST imported.  If not selected, PST stubs will be copied into the root level of the folder specified as the stub destination folder.

    Destination Folder Name in Mailbox

When Copy PST stubs to mailbox or Move PST stubs to mailbox is selected, enter a custom mailbox folder location where the PST stubs will be placed. If the destination folder does not exist, it will be automatically created.
