Enabling and Configuring Archiving for SharePoint Backup Data

At first, configure the default subclient to back up the SharePoint Storage Manager data. After configuring the default subclient, first enable and then configure archiving rules for the subclient.

Archiving rules apply only to the SharePoint data that was externalized according to the Minimum BLOB storage size (KB) specified in the SharePoint Central Administration. Archiving rules do not apply to the data in the content database.

  1. Open the CommCell Console.
  2. In the CommCell Browser, expand SharePoint Server > database_backup_set.
  3. Right-click the subclient and click Properties.
  4. In the Subclient Properties dialog box, click the Content Database Options tab.
  5. From the SQL client to protect Content Databases list, select the name of the SQL server client computer where SharePoint content databases reside.

    • You can use a single subclient if you have multiple content databases on a single SQL server.
    • If you have content databases on multiple backend SQL servers, you can create a separate subclient for each SQL server.

  6. Optional: In the Number of streams for content database backup, enter the number of streams for backing up databases.

    By default, two streams for backing up content databases are selected.

  7. Edit VDI Timeout as per the time required by the SQL server to become ready to accept data into the database during restores.
  8. On the Retention tab, specify the number of days for data retention.
  9. Click the RBS Store Options tab.
  10. To back up the BLOBs stored at the File System client for a content database, from the RBS Store Client list, select the file_system_client with BLOB storage configured on it.
  11. To enable archiving for a content database, select the Enable archiving on file BLOB storage check box.
  12. To configure the archiving rules, click one or more sub-tabs from the General, User, and Type/Pattern sub-tab.
    1. Specify the general criterion that must be met before data is archived:
      • To archive data based on the modified date, in the Modified time older than box, enter or select the number of days before data is archived.
      • To archive data based on when the data was created, in the Created time newer than box, enter or select the number of days before data is archived.
      • To archive data based on the size of the data, in the Size greater than box, enter or select the minimum size for data to be archived.
      • To archive data based on the number of versions kept from the previous backups, in the Versions older than the last box, enter or select the number of backup versions before data is archived.
    2. Specify archiving rules based on data ownership and SharePoint groups:
      • To archive data based on data ownership:
        1. Under the Archive documents whose owner is listed below section, click Add.
        2. Enter the name of the owner as domain\user and click OK.
      • To archive data based on SharePoint groups associated with the data:
        1. Under the Archive documents whose owner belongs to one of the user groups listed below section, click Add.
        2. Enter the name of the site-group and click OK.
    3. Specify archiving rules based on file type and pattern:
      • To archive data based on the file type:
        1. Under the Archive documents whose type is listed below section, click Add.
        2. Select a document type and click OK.

    The above-mentioned criteria are applied to archive content databases using AND combination. For example, if you select 120 days for Created time newer than box and 4MB for Size greater than box, only those content databases are archived that are more than 4 MB in size and greater than 120 days old.

  13. Click OK.

    • Archiving is supported only for SharePoint Storage Manager data. It is not supported for a third-party content management software.
    • After archiving is enabled and configured on the subclient, backup jobs will also archive data according to your criteria set in the RBS Store Options tab.
    • During the archiving operation, the value set in the Minimum BLOB storage size (KB) option in the SharePoint Central Administration will override the value set for the Size greater than option on the RBS Store Options tab.
