Searching Emails

You can search the emails that you backed up from your client computer. The search capability provided in the Web Console also allows you search through the contents of your email backups.

Use the following steps to perform a search operation:

  1. From the Web Console, click My Data.

  2. Click the Mail tab.
  3. Under My Emails, click Mailboxes to search for your backup emails.
  4. In the search textbox on the top right corner of the window, type one or more keywords for the emails you are looking for and then hit the Enter key.
  5. From the search results, you can select an email to see a preview of the content. In the email preview, you may also see the search keyword occurrences highlighted in yellow.

If you encounter the following issues during search, contact your Administrator as your backups may not be getting content indexed:

  • Search takes too long to display search results
  • Search results are not very accurate
  • Emails obtained from the results cannot be previewed

Advanced Search Operations

You can also search emails based on specific criteria, such as emails from specific users, containing a particular subject, etc. Refining your search results is also possible in order to filter out irrelevant emails.

The following sections describe these advanced search operations:

From a Specific User

  1. From the Web Console, click My Data.
  2. Click the Mail tab.
  3. Under My Emails, click Mailboxes to search for your backup emails.
  4. Click the drop-down arrow in the search textbox on the top right corner of the window.
  5. In the From box, type the sender name.
  6. Click Go.

To a Specific Recipient

  1. From the Web Console, click My Data.
  2. Click the Mail tab.
  3. Under My Emails, click Mailboxes to search for your backup emails.
  4. Click the drop-down arrow in the search textbox on the top right corner of the window.
  5. In the To box, type the recipient name.
  6. Click Go.

Containing a Specific Subject

  1. From the Web Console, click My Data.
  2. Click the Mail tab.
  3. Under My Emails, click Mailboxes to search for your backup emails.
  4. Click the drop-down arrow in the search textbox on the top right corner of the window.
  5. In the Subject box, type the text.
  6. Click Go.

Received on a Specific Day

  1. From the Web Console, click My Data.
  2. Click the Mail tab.
  3. Under My Emails, click Mailboxes to search for your backup emails.
  4. Click the drop-down arrow in the search textbox on the top right corner of the window.
  5. In the Received box, select a specific day.
  6. Click Go.

Refining Search Results

You can further refine the search results by performing one or more search operation on the displayed search results. It is really useful when you have to narrow down your search in a large list of results.

Refinements are documents grouped together by metadata fields, such as data size (Size filter), and are usually displayed with the number of results that can be found in each group. By default, the All check box is selected for all the filters.

The search results can be fine-tuned according to the following filters:

Filter Description
From View the emails from a specific sender.
Attachment View the emails depending whether they contain an attachment or not.
Email Folder View the emails in a specific folder.
Received Time View the emails received within a specific time range.
Size View the data with size within the specified range.

The options in the refinements pane vary according to the search result. For example, the options under the From filter will display different sender names based on the folder you are searching from. Also, the number of search results will vary according to a selected filter.
