Data Retention Forecast and Compliance Report

About This Report

The Data Retention Forecast and Compliance Report displays information about a history of data protection jobs, associated media, data aging forecast, and recyclable media based on the selected filter criteria. Note that regardless of the filter options selected for this report, the report always checks retention in days.

You must log into the CommCell Console to access this report.

When to Use This Report

You can use the Data Retention Forecast and Compliance Report to review information related to backup jobs, associated media, job aging information, and the amount of disk space for storage policy copies. This report is useful if you need to know:

  • Backup jobs that are on each media or disk volume
  • Backup jobs that either exceed their retention criteria or need to be retained
  • Media that can be recycled and a list of media that cannot be recycled based on the copy retention
  • The amount of disk space that is freed and kept for each storage policy copy
  • An estimated date, including the time zone, on which a job is due to be aged
  • Reasons why data was not aged

What This Report Contains

This report presents the data in the following sections:

Summary

This table provides information about each storage policy, including copies, media, and estimated aging dates for data. There is a separate table for each storage policy.

Column Description
Storage Policy Name of the Storage Policy.
Storage Policy Copy Name of the Storage Policy Copy.
SIDB Store Name (SIDB Storage - Estimated Recycle Date) Deduplication database name and the date when pruning will be performed on the deduplication database.
Media (Media - Estimated Recycle Date) Media name and the date when the pruning will be performed on the Media
Job ID (Status) Job ID and the status of the job, such as Completed, Failed, or Pending.
Backup Job Type Backup job type, such as Full or Incremental.
File Type Type of information backed up, such as DATA.
Client Name of the client.
Agent/Instance Name of the agent and instance.
Backup Set/Subclient Name of the backup set and subclient.
Start Time Start time of the backup job.
Estimated Aging Date Date when data will be aged.
Reason for Not Aging Reason that data was not aged, if applicable.
Cycle Number (Full Cycle/Sequence Number) Backup cycle number.

Full cycle is the number of full backup jobs run on a subclient. Sequence number is the job number in that cycle. For example,  if Job 123 is the 12th full job run for a particular subclient on a storage policy copy and is the first job in cycle number 12, then the Cycle Number will be 1(12/1).

Disk Media Summary

This table provides data retention information about each disk library.

The size of the disk to free up/keep parameters will be accurate for non-deduplicated data. For deduplication-enabled storage policies, the size might differ because for deduplicated data, the data from the disk is pruned at the data block level and not from the job level. For more information on how data aging works with deduplication, see Data Aging for Deduplication.

Column Description
SIDB Store Name Name of the SIDB store associated with the storage policy.
Library Name of the library associated with the storage policy.
Storage Policy/Copy Name Name of the storage policy and storage policy copy.
Media Name of the media associated with the SIDB store.
Space to Free (GB) Amount of space that needs to be freed.
Space to Keep (GB) Amount of space that needs to be maintained.
Application Size to Free (GB) Size of application data that needs to be freed.
Delay Reason for physical space cleanup Reason for delaying physical space cleanup, if applicable.

Non-Disk Media Summary

This table provides data retention information about each non-disk library.

Column Description
Library Name of the library.
Media Location Location of the non-disk media.
Media Name or identifier for the media.
Storage Policy/Copy Name Name of the storage policy and copy associated with the media.
Estimated Aging Date Estimated date for aging data.
Space to Free (GB) Amount of space that needs to be freed.
Space to Keep (GB) Amount of space that needs to be maintained.

How to Generate the Report

You can generate the default version of any CommCell Report on demand in the CommCell Console.

Before You Begin

  • Your CommCell user account requires a role with the Report Management permission.
  • To view report data for an entity, your CommCell user account must have an association with that entity.

Procedure

  1. On the CommCell Console ribbon, select the Reports tab, and then click Forecast.
  2. In the Report Selection dialog box, configure any options.
  3. Click Run.

    The report appears in your default Web browser.

Scheduling the Report

  1. In the CommCell Console, select the Reports tab, and then on the ribbon, click the button for the report that you want to schedule.

    The Report Selection dialog box appears.

  2. Configure the report as needed.
  3. In the Report Selection dialog box, click Schedule.
  4. On the Schedule Pattern tab, in the Schedule Name box, enter a name for the schedule.
  5. Select the interval at which you want the report to run: One Time, Daily, Weekly, Monthly, or Yearly.
  6. In the Start Time box, type the time of day when you want the report generation to begin.
  7. Under Repeat, specify the exact times and days that you want the report to run.
  8. Click Ok.

Customizations That You Can Perform With This Report

You can further customize the report by using the tabs that are available in the Report Selection dialog box. The following table describes the available report options for this report.

Options Description
General You can set the report to display information about media, data types and jobs. Optional report information includes:
  • Media location in or out.
  • Prunable and un-prunable data
  • Job retention status as it is now or forecasted for a number of days

You can also choose to sort the report information by client or storage policy. If you select Client, the Client tab becomes available, and the Storage Policy tab becomes unavailable. If you select Storage Policy, the Storage Policy tab becomes available, and the Client tab becomes unavailable.

Client You must select the Client option on the General tab to make this tab available.

You can set the report to display information for all computers from the CommCell or select individual clients with the Modify option. You can set the report to include all agent types in the CommCell, or select individual agent types with the Modify option.

Storage Policy You must select the Storage Policy option on the General tab to make this tab available.

You can set the report to display information for all storage policies in the CommCell or select individual storage policies.

Output

You can set the report output to appear in one of several  formats and save it to a variety of locations. Set any of the following options:

  • Generate the report in HTML, Text separated by commas or tabs, or PDF.

  • Enter a location to save the report in that location:

    • On your local computer
    • On a shared network drive
    • An FTP Location. Click Settings to specify an FTP location that is different than the default.
  • Choose a language from the Choose Locale list to set the report to appear in that language.

  • Enter a custom name for the report.

  • Select Date and Time, and then select a format from the list to set the format in which the date and time appears in the report
